About Arctera Management Console
Arctera Unified Platform
Arctera Unified Platform is a cloud-based archiving service that stores, manages, supervises, and discovers all business-critical communications for your organization by journaling a copy of every message sent and received into a secure, searchable cloud archive.
The platform captures email, collaboration, voice, and third-party communications, making them available for compliance review, legal discovery, and internal governance without disrupting day-to-day operations.
By centralizing content from all communication channels into a single governed platform, Arctera Unified Platform enables organizations to meet regulatory retention requirements, supervise communications for compliance, respond to legal holds, and demonstrate compliance.
Arctera Unified Platform applications
-
Arctera Personal Archive:
-
Arctera Personal Archive is the end-user application through which employees access their individual archived emails and collaboration messages stored by Arctera Unified Platform.
-
Users can search, read, reply to, forward, restore, save, download, print, tag, and send archived messages — with the administrator controlling which actions are available to each user.
-
If the organization subscribes to Arctera eDiscovery, administrators can assign a user the reviewer role, allowing that user to monitor and search the archived communications of other archive accounts.
-
For more information, see Arctera Personal Archive Help.
-
-
Arctera eDiscovery:
-
Arctera eDiscovery is a web-based service that enables legal and compliance teams to respond proactively to litigation requests, ensure adherence to company communication policies, and meet regulatory requirements.
-
Reviewers use iterative search across archived emails, collaboration messages, and files to identify relevant items, place them on legal hold, apply review status tags and labels, and collaborate on cases with role-based access — with results exportable in EML, PST, or NSF formats.
-
The application includes InsightAI, an AI assistant powered by OpenAI GPT-4.1 Nano that generates context from new and saved searches, and a translation feature that lets reviewers translate non-English content directly in the preview pane without an external tool.
-
For more information, see Arctera eDiscovery Help.
-
-
Arctera Surveillance:
-
Arctera Surveillance is the compliance supervision application within Arctera Unified Platform that enables organizations to monitor employee communications for adherence to company policies and regulatory obligations.
-
Administrators organize monitored employees into supervision departments within Arctera Surveillance, allowing structured coverage of communications monitoring across the organization.
-
Account Mapping reports for Arctera Surveillance are available from Arctera Management Console, and items originating in Arctera Surveillance can be cross-referenced and searched within Arctera eDiscovery for legal hold and investigation purposes.
-
For more information, see Arctera Surveillance Help.
-
-
Arctera Capture:
-
Arctera Capture helps organizations in financial services and other regulated industries comply with regulatory requirements including SEC rule 17-a4, CFTC rule 1.31, Dodd-Frank, and FINRA obligations by streamlining the capture and discovery of e-communications data.
-
It provides a library of dedicated connectors that capture communications from a wide range of third-party platforms and ingest them into the Arctera Unified Platform archive.
-
Connectors are designed for continuous scheduled capture runs and can also be scoped to targeted time frames for discovery purposes, giving organizations complete and auditable coverage of their third-party communication channels.
-
For more information, see Arctera Capture Help.
-
-
Arctera Classification:
-
Arctera Classification is a service that automatically applies classification tags to incoming emails in Arctera Unified Platform based on enabled policies, helping organizations categorize and organize data for archiving, governance, and compliance decisions.
-
Built-in policies address a wide range of regulatory requirements and corporate standards — for example, detecting personally identifiable information (PII) such as credit card numbers, passport numbers, and dates of birth to support compliance with regulations like GDPR.
-
Classification administrators access Arctera Classification through Arctera Management Console to enable and configure policies; tagged emails can then be searched in Arctera eDiscovery to reduce review scope during investigations.
-
For more information, see Arctera Classification Help.
-
Arctera Management Console
Arctera Management Console is the central web-based administration interface through which IT and compliance administrators configure, connect, and govern all Arctera Unified Platform applications from a single location. Administrators use Management Console to provision archive accounts, configure and monitor content ingestion connectors, define archiving and retention policies, manage authentication, and generate reports — without requiring direct access to individual application settings. Management Console is role-based, meaning each administrator sees and can perform only the tasks permitted by the roles assigned to them, ensuring appropriate separation of duties across the administration team.
Intended users
-
System Administrator: Has full access to all areas of Management Console and is responsible for the overall configuration and health of the Arctera Unified Platform environment.
-
Policy Manager: Manages archiving policies, authentication settings, password policies, and trusted network restrictions for the organization.
-
Report Administrator: Generates and views usage reports, activity logs, and configures notifications and alerts.
-
eDiscovery Administrator: Manages eDiscovery-specific settings, including privileged delete permissions and role assignments for eDiscovery users.
-
Administrators can also create custom roles with a precisely scoped combination of permissions to match the responsibilities of specific individuals or teams in the organization.
Key administration areas
-
Provisioning:
-
Configure provisioning settings that control how users in your organization are onboarded into Arctera Unified Platform with archive accounts.
-
Choose from multiple sync methods — manual, CloudLink, Exchange Online Sync, Google Workspace, or SCIM — and manage organizational domains.
-
Additional settings control Personal Archive deployment options and the administrator notifications sent when accounts are provisioned.
-
-
Account Management:
-
Manage the full lifecycle of individual archive accounts, from initial creation and service enablement to eventual deactivation or removal.
-
Configure account-level settings including MYOK encryption keys, delegate access, InsightBooks permissions, Personal Archive Mobile Web Access, and role assignments.
-
Additional operations include bulk account management, exporting account information, unlocking accounts, and editing administrator contact details.
-

-
Configure and manage archive collectors to continuously ingest communications from more than 30 supported sources into the archive.
-
Supported sources include Exchange Online, Microsoft Teams, Bloomberg, Google Workspace, SCIM, Arctera Capture Services, LinkedIn, WhatsApp (No — discontinued), Zoom Phone, and audio-video platforms.
-
Each collector can be independently added, configured, cloned, monitored, and removed to match the organization's changing communication landscape.
-
-
Role Management:
-

-
Roles can be assigned to individual archive accounts or Azure Active Directory groups, with all changes captured in a full audit trail.
-
-
Authentication:
-
Configure how administrators and users authenticate to Arctera Unified Platform.
-
Supported methods include standard credentials, multi-factor authentication (MFA) via email or Time-based One Time Password (TOTP), ADFS, and SAML 2.0 single sign-on.

Authentication settings ensure platform access is governed by the organization's existing identity and security policies.
-
-
Policy Management:
-
Configure organization-wide settings that govern archiving behavior, content processing, and platform access security.
